TM2 has a robust guest registration feature for selling passes and controlling guest entry at your tournaments. There are many configuration options available, and our goal is always to make all features intuitive to explore on your own and adapt up or down depending on the needs of your event. However, here is a rundown of the main features and our recommended workflows for setting up and running your guest registration at an event of any size.

BEFORE YOUR EVENT

Most of your pre-event setup will take place in the Guest Registration module on TM2.
  1. Create the pass types that you want to offer for this event. There are several options for defining a pass and its limitations, depending on your needs.

  2. Customize the design of your registration page under Settings.

  3. When you're ready to start selling, turn on the "Guest Registration Enabled" button to display the registration link, and copy the link for use in your event promotion.

  4. Optionally use the "Printable QR Code" button to generate a PDF that you can print out and display outside your event so that people that haven't bought advance passes can still buy them on their phones. (Event if you plan to sell passes on site, advance sales reduce lines and head off potential difficulties with pass delivery.)

  5. On the Mobile App page, create at least one mobile login for Guest Check In, and at least one mobile login for Guest Registration. Name them whatever you like -- this is for your own internal tracking only. If you want to track activity per user (e.g. which door a pass was scanned at, how much cash each seller collected, etc) then create a separate login for each person (or door, or location...) Otherwise it's fine for multiple users to share the same mobile login (though you still need separate logins for Registration and Check In, as these are separate modules within the mobile app).

  6. Install the "TM2 On Site" app onto your Apple or Android devices. You'll typically want a minimum of two devices: one for selling (Guest Registration) and one for scanning (Guest Check In).

  7. Make sure you will have WIFI or reliable cellular Internet access at your event. This is an Internet-based system and you will not be able to sell or scan passes without Internet access.

  8. If you want to process in-person credit cards you'll need a Stripe credit card reader ("M2" model is recommended). You can order this directly from Stripe by logging into your Stripe account.

  9. In-person credit card processing also requires that the event have a configured venue, which you can add on your main event dashboard. You MUST set the venue address for the card reader to work, as it relies on geolocation for security purposes.

TIP: Encouraging advance sales before the event is highly recommended for two reasons: It reduces the number of transactions you need to process on site, and it avoids difficulties with guests that may have poor internet access on site and are unable to retrieve their emailed passes.


RUNNING YOUR EVENT

We recommend establishing three stations at your event: Registration, Check In, and Troubleshooting. For a small event these might all be at one table and even managed by the same person. For larger events you might need multiple instances of each station in various locations. Either way, it's useful to think about your operations in terms of each station as follows:

REGISTRATION STATION

This is where you sell passes. Guests that buy passes online can skip this station.

SETTING UP:

Open the TM2 On Site app and scan the QR code for the Guest Registration login that you set up in TM2. Make sure your Stripe reader is powered on and connect to it in the app. (Keep the Stripe reader plugged into power if possible. If not, it may turn itself off when idle and you'll need to push the power button to wake it up.) 

Post the "Printable QR Code" somewhere near this station to encourage buying directly from the website if possible.

OPERATING:

Select the desired passes and select cash or credit. Enter the customer's email address, complete the transaction, and ask them to check their email for the passes and then proceed to check in.

IMPORTANT: The customer email address is not just for the receipt, it's how we deliver the pass(es) to the customer. You can still complete a transaction without it and simply let them into the event, but then the guest will not receive a pass and you will not be able to use the advanced check in features such as photo verification for re-entry.


CHECK IN STATION

This where you scan passes and control entry to the event.

SETTING UP:

Open the TM2 On Site app and scan the QR code for the Guest Check In login that you set up in TM2.

OPERATING:

Ask guests to present their pass. Scan the QR code and check the result. You can also search by name or email address if necessary.

To allow ins and outs while preventing pass sharing, click "Add Photo" and take a photo of the guest. Every subsequent scan of the same pass will now show that photo.


TROUBLESHOOTING STATION

This is where you handle unexpected issues and special cases. Having a dedicated station for this helps reduce holdups at the other stations.

SETTING UP:

Ideally your troubleshooting station is manned by someone with a laptop and TM2 admin access ("Support Guest Registration" permission for this event, at minimum). If feasible, a printer would enable you to print passes for any guests having difficulty accessing their passes due to poor cell reception, etc.

OPERATING:

Here are some issues that might arise, and some tips for handling them:

Guest bought a pass on site but has no internet access and cannot access their pass
  • Provide them temporary wifi access if possible.
  • Or... look them up by email address in the check in app. Snap their photo and admit entry.
  • Or... if you have a printer on site, look up their payment in the TM2 admin (Guest Registration > Payments). Open the receipt, which will have the passes on it, and print them a copy which can then be scanned at the check in station

Guest refuses to have their photo taken
  • Refuse entry to the event if you want to maintain a strict policy 
  • Or... look at their pass and take their word for it if you want to be more lenient 
  • Or... manually inspect their pass and verify that the name matches their name (asking for ID if necessary)
  • Or... look up their payment in TM2, click "resend passes", and ask them to check their email and show you the newly timestamped email to verify that they are the payer

Wrong or illegible guest photo
  • Look up their registration in the TM2 admin and delete the photo. Take a new one from the check in app.

Guest needs to be banned from the event
  • Look up their registration in the TM2 admin and click "revoke pass"

Guest needs a credit card refund
  • Look up their payment in the TM2 admin and issue a refund
